Viana Stay ("we", "our", or "us") is an institutional residential hostel management application designed for enrolled students, parents, residential staff, wardens, and administrators of Saveetha Institute of Medical and Technical Sciences (SIMATS). We are strictly committed to protecting your privacy.
No Tracking & No Ads Guarantee: Viana Stay does NOT track users across apps or websites, does NOT access device advertising identifiers (IDFA), does NOT display third-party advertisements, and does NOT sell or share personal data with data brokers or marketing networks.
1. Information We Collect
We collect personal information necessary to deliver hostel administration services effectively:
- Identity Data: Full Name, Student/Staff ID, Registration Number, Hostel Name, Floor, Wing, and Room Number.
- Contact Data: Phone number, parent contact number, physical address, and institutional/personal email address.
- Service & Leave Requests: Request details, purpose of leave, destination, arrival/departure dates, and attached proof photos or document images.
- Attendance & Security Logs: Biometric/check-in logs, gate pass entries, and attendance records.
2. No Tracking and Advertising Policy (Apple Guideline 5.1.2)
In accordance with Apple App Store Review Guidelines:
- We do not collect or use Apple’s Identifier for Advertisers (IDFA).
- We do not participate in any advertising networks or cross-app tracking.
- We do not link user data with third-party data for targeted advertising.
- All data collection is strictly for App Functionality and hostel management purposes.
3. Camera & Photo Attachment Permissions
Our application requests permission to access your device’s Camera and Photo Gallery solely for user-initiated actions:
- Capturing mandatory document photos for leave requests and gate passes.
- Attaching photos of maintenance issues (e.g., AC repair, electrical, or plumbing defects).
- Profile picture upload.
We do not access your camera or photo library in the background.
4. How We Use Your Information
Your information is used strictly for institutional hostel administration, including:
- Processing leave, room allocation, maintenance, and security requests.
- Communicating status updates and emergency notifications via Firebase Cloud Messaging (FCM) push notifications.
- Verifying student presence and generating administrative hostel reports.
- Authenticating authorized students, parents, and staff via secure Google OAuth2 or institutional Registration Number.
5. Data Storage & Security
We implement robust technical and organizational security measures to protect your personal data against unauthorized access, loss, or alteration. All communication is transmitted via secure HTTPS endpoints with strict database access controls and session encryption.
6. Data Sharing & Third Parties
We do NOT sell, trade, or rent your personal data to third parties. Information is shared only with authorized institutional personnel (Wardens, Maintenance Personnel, Security Staff) relevant to fulfilling hostel administration.
7. Account Deletion & Data Retention
Users have the right to request deletion of their account and associated personal data at any time:
- You can request account deletion in the app via Profile > Delete Account or by visiting our Account Deletion Page.
- Upon request, personal account credentials and non-essential logs are permanently removed from our active database. Essential institutional academic and billing records are retained only as required by institutional policy and legal compliance.
